Signing In and Account Security in Aerish

This guide explains how to sign in to Aerish, keep your password safe, and what to do if you forget it. It applies to everyone: admins, teachers, staff, students, and guardians.

Before you start

• Aerish accounts are created by the school admin, except the owner account created when the school registers.
• Have the email or username and password your school gave you.
• Only Superadmin or Admin can reset another user's password, under Users & Access → Accounts.

Sign in to the web app

1. Open /signin.
2. In the Email or username field, type your email or your username. The same field accepts both.
3. Enter your Password. Click the eye icon to show or hide it.
4. Click Sign In.

Aerish opens the portal that matches your account group:

• Admin portal (/admin): staff groups such as Superadmin, Admin, Guru, Bendahara, Staf Bendahara, HR, Staf HR, Kepala Sekolah, Pengajaran, Staf Pengajaran, Pengasuhan, Staf Pengasuhan, Partner, and Kasir.
• User portal (/user): the Pengguna group, which is for students. Guardians use the student's account.
• An account without any of these groups (for example, one that only has the Alumni group) is sent back to the sign-in page. Ask your school admin to check your account group.

Required change of the initial password

If your account is flagged to change its initial password, Aerish keeps opening your profile page with the message "This account is still using its initial password". Other menus open only after you change it.

1. Enter your Old Password.
2. Enter a New Password (at least 8 characters) and Confirm Password.
3. Click Change Password.

Change your own password

In the web app

1. Click your username at the top of the sidebar and choose My account. Staff open /admin/account/my-profile; students open My Profile (/user/my-profile).
2. On the Profile tab, scroll to the Change Password section.
3. Fill in Old Password, New Password, and Confirm Password, then click Change Password.

In the mobile apps

• Aerish (students and guardians): Account → Account Settings → Account Security → Ganti Kata Sandi (Change Password).
• Aerish Staf: the Akun (Account) tab → Ubah password (Change password).

Forgot your password

Passwords are reset by your school admin. The Forget Your Password? link on the web sign-in page and Lupa Kata Sandi? in the Aerish app do not send a new password automatically yet, so contact your school admin and ask them to reset your password. Once you receive the new password, sign in and change it right away to one of your own.

If the school's Superadmin account has lost its password, contact the Aerish team. Superadmin passwords are reset from the platform owner panel.

For admins: reset a user's password

1. Open Users & Access → Accounts (/admin/account) and find the account.
2. Click the Actions button on the account row and choose Edit.
3. On the Edit Account page, under Edit Password, click Change Password.
4. In the Change Password Form dialog, fill in New Password and Confirm New Password, or click Generate Random Password.
5. Click Save, then share the new password with the user privately.

Automatic logout after inactivity

• In the web app, your session ends automatically after 8 hours without activity. Activity in other tabs of the same browser also counts.
• Two minutes before, a Session Will Expire dialog appears. Click Stay Signed In to continue, or Logout Now.
• After an automatic logout, the sign-in page explains that the session ended due to inactivity. Sign in again to continue.
• To sign out yourself, click your name at the top of the sidebar and choose Logout.

Sign in on mobile

• Aerish (students and guardians): enter your username or email and password, tick Ingat saya (remember me) if you like, then tap Masuk (Sign in). Only accounts in the Pengguna group can sign in. After 5 failed attempts, sign-in is locked for 5 minutes.
• Aerish Staf (teachers and staff): enter your username or email and password, tick Ingat saya (remember me) if you like, then tap Masuk. The Lupa Kata Sandi ? (forgot password) button in this app tells you to contact your school admin.

Troubleshooting

• "Sign in failed. Check your email and password and try again.": check the spelling of your email or username and the capitalization of your password.
• You keep landing on your profile page: the account must change its initial password first.
• "Akun ini tidak bisa masuk ke aplikasi ini" in the Aerish app: that app is for student accounts only. Staff use Aerish Staf or the web app.
• "Akses ditolak: hanya akun Guru, Staf, Admin, atau Pengasuhan ..." (access denied) in Aerish Staf: your account group is not a staff group. Ask your school admin to check it.
• "New password and confirmation do not match.": retype both fields with the same text.
• "Password must be at least 8 characters.": a new password on the profile page needs at least 8 characters.

Tips

• Use a password of at least 8 characters that mixes uppercase, lowercase, numbers, and symbols.
• Do not share your password. Guardians should use the student's account on the family's own device.
• Always choose Logout after using a shared computer.
