Qur'an Memorization and Student Care Records in Aerish

This guide is for tahfidz teachers, student care staff, and admins. You will record students' Qur'an memorization and manage violation, permission, and health records in one place.

Before you start

• Students are already placed in classes for the active academic year. See Academic Setup.
• Both menus live under Academic → Student Care: Qur'an Memorization and Student Care.
• Qur'an Memorization needs the Tahfidz feature. Student Care needs the Pelanggaran, Perizinan, or Kesehatan feature. A menu only appears if its feature is in your school's subscription.
• By default, Guru, Pengajaran, and Staf Pengajaran can record memorization. Pengasuhan and Staf Pengasuhan can add and edit student care records, while Guru can only view them. Permissions can be changed in Access Control.

1. Record a memorization session

Open Academic → Student Care → Qur'an Memorization (/admin/quran-memorisation). The table shows Full Name, Class, Surah Name, From Verse, To Verse, Score, Description, and Submission Date.

1. Click Start Memorising the Qur'an.
2. Fill in Select Class, then Select Students, and click Yes, Confirm. The student's memorization page opens.
3. In the left list, pick a surah. Each surah shows "already memorized … out of … Verses".
4. In the right panel, tick Has Been Read? on the verses recited. Tick them in order starting from verse 1; the session is recorded from verse 1 to the last ticked verse.
5. Choose a Score: A (Hafalan Lancar dan Bacaan Tartil, fluent and tartil), B (Hafalan lancar dan Bacaan kurang Tartil, fluent but less tartil), or C (Hafalan belum lancar dan bacaan kurang tartil, not yet fluent). The options are shown in Indonesian.
6. Note for Student fills in automatically from the score.
7. Click Save, then confirm in Confirm Save.

Students see their progress in the student portal under Academic → Student Care → Qur'an Memorization: a list of surahs with verses memorized, the mark, and the deposit date. Memorization also appears in the Aerish app.

2. Manage student care records

Open Academic → Student Care → Student Care (/admin/student-care). The Student Care Hub has Violations, Permissions, and Health tabs, plus Open cases, Punishment pending, Follow-up due, and Resolved summary cards.

1. Choose the right tab.
2. Click Add New.
3. Pick the student in Student ID and fill in the fields (see the table).
4. Save. To update a record, open it from the table and edit it, for example to mark Punishment Applied.

Students see their records in the student portal under Academic → Student Care → Violations, which has Violations, Permissions, and Health tabs. The Aerish app also shows violations, permissions, and health history.

Troubleshooting

• The Save button is disabled. Pick a surah, tick at least one verse starting from verse 1, and choose a score.
• A verse can't be ticked. Verses must be ticked in order; tick the previous verse first.
• A student is missing from the list. Make sure the student is placed in a class. In Student Care, the Add New option in the student field opens the add-account page.
• A record won't save. Required fields: Violations (student, type, description, occurred at, action); Permissions (student, type, reason, start date, status); Health (student, illness name, since, complaint, status).
